Summary of Duties and Responsibilities:
The College of Design at Iowa State University is now taking applications for a newly redesigned position at the Program Assistant I or II level, who will act as the college's Event Planner and Alumni Relations Coordinator. This position will work closely with all the departments within the college to grow our alumni relations programs and promote and coordinate all events that are planned by the college and departments. Events include the coordination for multiple special events, receptions, symposiums, lecturer series, and graduation ceremonies hosted by the college and departments. Responsibilities for event coordination include: planning for small to large events; implementing marketing initiatives to maximize event goals; managing event databases and reports; securing vendors, and handling both internal and external communications. These events include representing and leading college alumni relations events and engagement.
In addition to the above, at the Program Assistant II level, this position will also be responsible for assisting in advancing the mission of the college through a variety of communications, and assisting with the development of marketing and general communications materials for an external audience by gathering story ideas and writing articles for the college alumni magazine, electronic newsletters for the college and departments, and emails to targeted audiences.
The successful candidate must have excellent organization and writing experience, be innovative, professional, detail-oriented, and have leadership skills. This position requires strong customer service, planning and time management skills; the ability to work independently, solve on-site problems and make decisions; the ability to design and write targeted mass communications and use other media effectively for marketing the College of Design; the ability to lift and move boxes that may weigh up to 50 lbs. for event set-up.
The successful candidate must also have the ability to foster positive, collegial, and collaborative relationships with a diverse population of internal and external constituents, and be able to attend events that occur outside normal business hours on evenings and weekends.
Required Education and Experience:
Bachelor’s degree and related experience; OR a combination of education and/or related experience totaling more than 4 years unless otherwise specified under supplemental required education and experience. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
Experience organizing and planning all details of events
Experience writing internal and external communications and promotional materials
This position must be able to occasionally work during evenings and weekends, depending upon event schedule, to carry out position responsibilities.
The successful candidate should also be able to travel to college sponsored events to set-up and act as the host when necessary.
