The Office of Event Scheduling and Support (OES) supports the Law School, Harvard, and non-Harvard community in the safe, professional and successful execution of events at the Harvard Law School. This office manages event space in eight buildings and is involved in collaborating with clients on 8800+ events. OES is responsible for all aspects of the day-to-day event operations including: event safety, oversight of custodial staff other service providers as related to events (catering, Media Services, etc.), policy creation and enforcement, event coordination, project management, and room scheduling. Reporting to the Senior Manager for Event Scheduling and Support, the Event Operations Coordinator is responsible for aspects of event planning, event operations, office administration and special projects.
Event Planning This position requires an understanding of the event planning process. Although this position is not an event planner, the individual will be responsible for all aspects of managing a portfolio of clients as assigned by the Senior Manager for Event Scheduling and Support. This will include managing the client relationship, providing consultation to clients on best use of space for their events, knowledge of preferred vendors, procedure for obtaining any needed licenses and permits and attending to other issues that may arise as part of the event planning process.
Event Operations Responsible for checking in with clients at events and troubleshooting any issues with the client, Maintenance, catering, Media Services, and/or Facilities as needed. Serves as the liaison between clients and the Facilities department for services including: banner hanging, lock changes, lock/unlock requests, etc. Provides direction to catering and Media Services staff, where needed, prior to and during events.
Administrative Some front office tasks will need to be performed on a daily basis (in coordination with other event operations coordinators) including answering the phones, processing room requests, and monitoring the general events@law e-mail account. 3 or more years of related experience in events, scheduling, operations, or customer service. Must be willing to work evenings, weekends and holidays when needed.
Bachelor's degree preferred. Harvard experience a plus. Superior communication, interpersonal and client service skills a must. Strong attention to detail and outstanding organizational skills are essential. Solid knowledge of event operations, logistics and support. Proficiency with Microsoft Office and data management required; experience with Event Management Systems a plus. Must be a self-starter who is flexible and able to multi-task in a fast-paced environment. Must possess the ability to follow through on required tasks in a timely manner, with little supervision and work well under pressure.
Physical Requirements: Significant walking on the job to check event set-ups, occasional need to move furniture and other equipment.
