Harvard Business School seeks qualified candidates for an Event Coordinator to assist with the planning and coordinating of Dialogue. Dialogue is an intimate, highly curated gathering of global leaders for a first-of-its-kind experience: a series of inspiring, immersive, hands-on working sessions where we'll tackle the toughest issues facing business and society—and amplify the efforts of those whose work makes a difference in the world.
Reporting to the Event Planner, the Event Coordinator's responsibilities will include:
Responsible for managing all lists (rsvp, invitations, registrations from cVent) coordinate with Executive Education for appropriate entries with Salesforce.
Responsible for additional Advance research and migration of information of HBS alumni from cVent to Advance
Manage updates and daily monitoring of registration, session selections, dorm room assignments, hotel block management, and other information as needed
Manage room reservations with Operations
Coordinate general level AV needs in session classrooms, lunch spaces and Hives
With transportation team ( outsourced or HBS) , create and manage transportation matrix for shuttle schedules and personal arrivals
Assist Event Planner with all seating assignments at dinners, Klarman, as needed
Coordination of all materials
Work with faculty for materials, presentations, IT and technical needs, and all details associated with their session and any pre-session work.
Update materials on website/app and tablet as needed
Assist with budget/payment of invoices
Coordinate all optional tours and activities
With Event Planner to plan and execute dinner and other events
Plan and manage faculty breakfasts
Manage special event lunches and assignments
Speaker management –manage all coordination with speakers including transportation, briefings, communication with faculty, website bios, etc.

Event planning experience with senior executives – at least 2 – 3 major events
Full knowledge of Microsoft suite – strong excel experience and knowledge is essential.
Excellent writing and oral communication skills
Ability to manage website with the M&C Team
Ability to work and direct outside vendors, manage high profile speakers
cVent or other event data base knowledge a plus
