Faculty Affairs - 30% Promotion and Tenure/Performance:
Responsible for determining and tracking college/univeristy changes to the promotion and tenure processes and updating the department’s corresponding processes.
Lead the department promotion and tenure processes in its entirety including reviewing and interpreting Dean and Provost instructions.
Determine and process necessary paperwork for annual reviews of faculty, set up annual review appointments, prepare review letters, and coordinate the overall process.
Compile evaluation & peer reviews to process required forms for probationary and associate professors.
Maintain compliant historic files for all faculty.
Review and recommend to the department head sabbatical and single semester leave requests.
Draft retirement resolutions and other official correspondence, as needed.
Collect data and advise the Department Head to make decisions in the assignment for committees.
Prepare official communication regarding committee assignments.
Schedule and arrange regular meetings with the committee chairs to determine the level of service requested.
Coordinate service requirements with committee chairs and prepare agendas, schedule and attend meetings, prepare official meeting notes and updates to the Department Head.
Lead the recruitment process on behalf of the department and work closely with Human Resources Coordinator.
Collect data and provide reports to Faculty Recruiting Chair and assist in coordinating faculty recruit campus experience and itinerary.
Liaison to University of Minnesota Office of Relocation and obtain informational pamphlets each year and coordinate their services, as requested.
Security and Space Coordinator - 35%
Develop policies and procedures for security and space allocation/use within the department.
Coordinate with front desk on facilities management orders for services.
Serve as primary contact for all vendors who support facilities maintenance in the department.
Serve as the Department Facilities Coordinator and serve on the Keller Hall Building Advisor Committee.
Responsible for developing and implementing policies and procedures for issuing and getting keys returned.
Order keys as need via facilities management.
International Scholar Coordinator – 10%
Review data and process visa request forms for international faculty, visitors and post docs based on requirements of US Immigration.
Coordinate faculty residency cases with the assistance of ISSS.
Serve as the liaison from CS&E to International Student and Scholar Services (ISSS) to problem solve and obtain information on behalf of the Department.
Provide information to Team CS&E related to updates on ISSS processing, visa changes, etc..
Collect data and report to Human Resources and the Finance Operations Team, as needed.
Moderate and direct work of the firstname.lastname@example.org email and maintain visa request form and roster (Google sheet) and maintain compliance for electronic/paper files.
Department Event Planner – 5%
Serve as project manager for department events and lead necessary decisions regarding space, food and other logistics for the following events.
Research Showcase Event
Industry Affiliate Council Meetings
End of Semester Event
Department Head Support - 10%
Serve as the point-of-contact for all inquiries related to the Department Head regarding scheduling meetings, etc.
Prepare official correspondence for the Department Head.
Prepare presentations, agendas and other duties as assigned.
Coordinate special request for travel arrangements and reimbursements, as needed.
Provide back up and other support to the Administrator.
University-Wide, Collegiate & Department Citizenship - 5%
Serve on committees as needed for the University, College and Department.
Other Duties - 5%
As a member of Team CS&E job duties and special projects may be required, as needed.
A bachelor's degree plus two years of experience in a related field or an equivalent combination of relevant education and experience totaling six years.
Google calendar, Google Office Suite of services, Microsoft Office Suite.
Experience using electronic databases, email and other office and web based software programs. Must be able to generate reports from database information.
Ability to multi-task efficiently in a stressful, fast-paced, noisy environment, preferably in an institution of higher education.
Experience planning events including registration, food ordering and other logistics.
Experience maintaining confidential and sensitive information.
Experience supporting a Department Head or other leadership position.
Experience working with faculty and the promotion and tenure process.
Experience leading projects and directing work of both internal and external stakeholders.
Experience with making independent decisions and being accountable for the success and failure of the decision.
