Loudoun County, VA-based membership association is looking for an enthusiastic and organized Meeting planner to provide support to the meetings department at NCMA and is responsible for administration and management of the association’s portfolio of educational conferences, and volunteer leadership events. Essential Duties & Responsibilities: • Registration and housing block setup, reporting and oversight. • Speaker Management - Ensures and manages all breakout sessions speakers for the three main conferences. Works with Cvent technology on assigning accurate credits and sending out communications and Certificates of Attendance to all attendees. • Logistics o Works with designated staff to determine and execute logistical arrangements and meeting specifications for venue functions (audio-visual, room sets, internet, electrical services, ADA requests, security and first aid). o as well as reviewing for accuracy and onsite placement. o Administers special project support (contract negotiation, site visit coordination, vendor selection) as needed. o Serve as an onsite manager working with the Director of Meetings and Events to communicate event details to vendors, staff, speakers and volunteers. o Sponsorship/exhibitor fulfillment o Manage event shipping logistic and procure, organize, and manage all event-related supplies, materials, and equipment to pack for conferences. o Mobile app development. - F&B o Works with the Director of Meetings and Events to select all F&B for conferences in line with budget and reviews all BEOs. - Marketing o Collaborates and updates event marketing efforts including website content, email blasts, magazine ads, postcards, event flyers and printed programs. - Other o Works with the Director of Meetings and Events to manage the meetings email inbox, phone calls and inquiries to answer all related questions on NCMA events. o Positive outreach to all volunteers, customers, and members so as to provide an informative and satisfying experience o Research and organize references for event venues and vendors as requested. Qualifications & Requirements: A Bachelor’s degree or equivalent experience required with a minimum of 2-3 years of association management experience and/or meetings management required. Onsite conference management experience is required. The ideal candidate will have the following skill set: - Strong working knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint). - AMS/CRM database and event management system experience (Cvent highly preferred). - Analytic, project management and strategic thinking skills. - Strong attention to detail and organizational skills. - Ability to work independently with minimal supervision to meet established schedules, in addition to ability to work in a team environment. - Experience in managing multiple tasks within aggressive deadlines - Demonstrated ability to communicate effectively with all levels of people (C-level to students). - Physical Demands: o Ability to lift up to 35 lbs.
