The Office Services Assistant Senior is an integral part of the Kelley Career Services Office giving administrative support to the Employer Relations team, and plays a key role in the daily operations of the office in relation to employer visits, interviews, events and communication. This position interacts often with students, staff, employers, faculty and visitors, requiring excellent customer service skills, and ability to work in a high-volume, fast paced environment.
Supports the Employer Relations team with tasks such as creating reports and tracking data using a complex system. Researches companies requesting access to recruit at Kelley. Serves as first point of contact and responds to inquiries from employers and students via phone, email and walk-in interactions regarding recruiting procedures and guidelines. Sends routine reminders to employers of deadlines. Greets and assists employers interviewing students by explaining the building and the complex systems used in each interview room. Monitors student application volume for job postings and alerts team if any concerns. Requests and audits event locations and interview rooms to ensure records are accurate. Identify needs and provide support to employers and staff when necessary.
Supports the Employer Relations Team and the Event Planner on a variety of high-profile events such as career fairs, employer networking nights, and on-campus interviews. Works closely with Event Planner to coordinate logistics of events.
Reviews and approves or denies job postings requested by employers who aren't yet engaged on campus. Requires researching companies and jobs, reviewing screening criteria and ensuring accuracy and validity of each posting. Conducts extensive background research on companies who could be fraudulent and communicating the denial of access to such requests. Requires solid understanding of the NACE guidelines and federal job laws. Serves as informational resource to companies and students for questions regarding policies, deadlines, and makes problems solves as needed.
Assists with collection and reporting of statistics on a monthly basis and contributes to the annual report. Analyzes data in a variety of ways requiring excellent attention to detail and thorough understanding of the data being reported. Contributes to the annual report for the office as well as to the annual report to the Provost of the University.
REQUIRED: High school diploma or GED and three years of previous office experience.
Proficient with Microsoft Office (Word, Excel, PowerPoint). Ability to learn and understand new computer systems quickly. Ability to multi-task with excellent attention to detail. Excellent customer service skills and communication skills while working with a wide variety of people. Knowledge of University policies and procedures. Ability to conduct computer research accurately and thoroughly.
Bachelor's degree. Knowledge of Skype and social media (e.g., blogs, Facebook, Twitter).
Working Conditions/Physical Demands:
This position may require an altering schedule during peak recruiting season (August-December, February-April) with a 7:00 am start time.
