Turnaround Management Association (TMA) is searching for an experienced Manager, Events & Fulfillment who would directly be responsible for planning and executing conferences for national attendees as well as being involved in the planning of off-site events and working with vendors. Reporting directly to the Director of Sales & Industry Relations and Director of Marketing & Communications, this highly organized individual would also be working with multiple departments and assisting in fulfillment which is comprised of sponsor and advertiser benefits, speaker logistics, regional and chapter meeting material needs and more.

What is the opportunity?
Responsibilities include but not limited to:
Manage all aspects of conferences, meetings, and events (pre-planning, onsite execution, and post event wrap up); approximately 4 events each year
Initiate proposals with vendors, make recommendations and manage vendors and approved contracts
Reconcile and work with accounting to pay all invoices after a conference: hotel bill, vendor invoices, etc.
Develop meeting specifications including banquet event orders, audio visual requirements and work plans including timelines
Develop staff manual for conferences which highlights responsibilities of staff and onsite logistics
Track conference data to include: attendance, hotel history, attendee satisfaction and event expenditures to stay within or below approved budget
Coordinate with all vendors to ensure services and materials are professional and appropriately reflect TMA standards
Complete checklists for each conference to ensure proper execution of responsibilities
Provide onsite management of meetings and events and includes oversight of vendors
Implement contingency plans as needed onsite; Troubleshoot and solve onsite problems seamlessly
Collaborate with Marketing team to develop innovative experiences, appearance, and ambiance that are unique and within approved budget
Provide fulfillment support including logistics pre-event, onsite and post-event preparing/distributing any sponsors’ fulfillment reports. Also working directly with year-round partners, event sponsors and advertisers (Collection of logos, copy, ad material, contact info, etc.)
Work with Marketing team to fulfill sponsor benefits pre-event, onsite and post-event (e.g. recognition on signage, sourcing sponsor fulfillment items, ads in the Journal)
Create and maintain sponsorship benefits grid for TMA Global events
Create and distribute post-event surveys to sponsors for each TMA Global event
Work closely with sponsors/exhibitors on providing logistical information (shipping, housing, registration, set-up and tear-down) for all TMA Global events
Work closely with Chief of Staff to coordinate TMA Global materials to be sent to meetings that TMA CEO attends
Provide assistance to Program Director, Certification and Education, for speaker logistics (collecting headshots and bios, distributing power point template, etc.)
Performs other duties as necessary
What qualifications are needed?
Bachelor’s degree preferred or equivalent experience
Developing and managing an event budget including all logistics (F&B, A/V, Activities, Transportation)
5 years’ experience in event planning for 500+ attendees
Must be proficient in Microsoft Office and database experience
Energetic, forward-thinking, and creative individual with high ethical standards and an appropriate professional image
Strong verbal and written communications skills and customer service capabilities
Ability to travel 25% domestically and work overtime as needed
Be able to lift 25 lbs.
