This position oversees game management for all varsity aquatic home competitions and special outside events, along with managing facility access control and daily operations. This position will also assist the Facility Director with risk management, facility oversight, and maintenance.
**Please note: This is a six-month, fixed-term appointment, August 1, 2019 - January 31, 2020 Summary of Job Responsibilities: Event and Game Day Management (40%)
Management and oversight of game day events for assigned events including but not limited to setup/breakdown, staffing, guest services and emergency protocol.
Coordinate logistics for assigned events with marketing, fan experience, ticket office, concessions and other staff.
Prepare detailed event plans, outlines and diagrams for distribution to the support staff.
Operate and maintain timing equipment, production equipment and software to conduct swimming, water polo and other aquatic competitions.
Budget creation and management of assigned sports.
Communicate with visiting teams, coaches and officials for assigned events.
Coordinate television needs with the Pac-12 Networks and other broadcast entities.
Investigate, document and report complaints regarding all aspects of events including customer service, crowd control and staff issues.
Liaison with University Events (such as Commencement and Homecoming), club sports, IM sports and outside events to ensure communication and proper use of facilities.
Prepare and monitor the annual Varsity Home Game Management budgets.
Coordinate the purchasing, inventory and maintenance of equipment related to all sports timing and event equipment.
Coordinate the purchasing, inventory and maintenance of equipment related to safety and pool supplies.
Hire, train, schedule, supervise, evaluate and approve timecards for all game day personnel and part time facility support staff.
Plan and facilitate monthly/quarterly staff trainings.
Provide orientation program for all new staff.
Update employee handbook and polices.
Facility Management (20%)
Monitor facility access control via card verification system and propose solutions.
Inspect facility for maintenance, janitorial and fire safety issues and communicate needed repairs.
Assist with the implementation of facility policies and procedures to include facility access, emergency action plans, standard operating procedures, cleanliness and preventative maintenance.
Ensure facility compliance with federal, state, and county public health and safety regulations.
To be successful in this role, you will bring: Education and Experience
Bachelor's degree in the field of recreation, or related field.
Candidate must have a minimum of three years related experience in aquatic event, operations or facility management.
Knowledge, Skills, and Abilities
Proficiency operating Colorado Timing System 6 (CTS) and Daktronics timing/scoreboard systems.
Technical experience with video/camera operations and sound systems in related aquatic fields.
Experience in online registration software (i.e CSI, Active, Fusion, etc.)
Demonstrated success managing event teams and planning, developing budgets, and meeting budget goals.
Excellent project management skills and the ability to manage complex timelines and multiple projects.
Ability to work both independently and as part of a team.
Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
Exceptional customer service skills with the ability to cultivate partnerships.
Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem solving skills.
Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
Ability to interact with a broad spectrum of customers.
Certifications and Licenses
CPR, AED and First Aid
Valid California Non-commercial Class Driver's License
Frequently stand/walk, sit, perform desk-based computer tasks, use a telephone.
Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21- 40 pounds.
Routine work during evenings and weekends and occasional extended hours.
Requires 24-hour response availability seven days per week for emergency situations.
May be exposed to noise > 80dB TWA.
May work at heights 4 - 10 ft.
