Lead our efforts in the pro-active execution of events, delivering gold-standard value to membership, sponsors and participants.
Duties: Orchestrate from committee planning to on-site execution, high quality, multifaceted events and meetings such as conferences, sales meetings, awards dinners and corporate events for foodservice, food processing and dining away from home industry. Execute all Association events and meetings with a focus on needs assessment, vendor relations, site selection process, cost analysis and budgets, on-site management, audio-visual, sponsorship relations and merchandising, transportation, reservations, and menu development and selection.
Responsibilities: - Core meeting planner skills with heavy strength in financial management, sponsor product - food and beverage merchandising and integration into conference BEOs. - Execute with a high level of client service; take ownership from inception through implementation of all event and meeting projects, as assigned. - Development and management of timeline and budget for all events. -,In coordination with program, sponsorship, and marketing teams and member committees facilitate logistics including venue research, site inspection and recommendation, hotel specification and BEO management, AV requirements, registration management and reporting, room block management, transportation, activities, decor, and rental orders. -,Management of total registration process (internal and external, preconference and on-site). - Provide creativity, initiative and professional/personal insights to the continuous improvement and re-invention of revenue generating activities (i.e., sponsorship, attendee experience, food & beverage, etc.) - Support program, marketing and sponsorship teams by handling the logistics involved with the flawless execution of meeting or event details. - Leadership role onsite with hotel. - Strong attention to detail and the ability to stay organized while juggling multiple tasks.
Skills/Qualifications: - Flexibility and problem-solving skills to resolve situations in a professional and calm manner. - Proven project management experience. - Solid experience in negotiations on contracts and needs. - Strong financial budgeting, tracking and forecasting skills - Detail –oriented. - Well developed interpersonal skills. - Solid organizational skills. - Excellent writing and communications skills. - Microsoft product suite, iMIS and Aventri software a plus. - Consummate team player. - High energy. - Minimum five years engaged in similar “Duties” and “Responsibilities.” - Business-to-business association experience a plus. - Currently residing in Chicago.
