The Event Services team operates as the heart of a broad and scalable service model, interfacing across the organization, and integrating with all other meeting & conference services teams to ensure timely and seamless delivery of amazing outcomes.
Not your average events operation, the Event Services program is all about navigating the varied world of events to craft premium experiences, responding to a wide variety of on-site requests, and creatively exceeding expectations.
The savvy guides to a full-service meeting program, the Event Coordinator will anticipate and tackle challenges before they arise, enhance the experiences that move teams forward, and bring delight to the client relationship, thus ensuring that CBRE continues to be the preferred service partner.
What you do:
The Event Coordinator is a full-time position designed to support the CBRE Event Planner Team and the Nike Sr. Event Planners in addition to owning any last minute "Pop Up" events that occur for Nike WHQ Meeting & Events.
Responsibilities and essential job functions include but are not limited to the following:
You Create Great Outcomes through:
Working directly with the CBRE Event Planner Team to execute multiple events over three primary Nike Conference Centers in addition to non-conference spaces.
Actively providing collaborative support to CBRE Event Planners by assisting in Event Order implementation: inputting orders, updating orders, and providing accurate communication to all event related teams
Responsible for onsite support; ensuring all room sets are completed correctly, all catering is in place, and any technical needs are addressed
Communicating with clients in a professional and personable manner
Meeting with clients on behalf of CBRE Event Planners as needed; offering creative solutions in a timely manner
Assisting with CBRE creative projects as they are presented
Working closely with CBRE Conference Service Representative Team to ensure all requested event collateral is created and in place
Assisting with onsite building coverage as business dictates, early mornings, evenings, and weekends included.
Actively communicating requests to the broader Meetings & Events team through a variety of channels, including Ungerboeck (Event Business Management Software).
Actively applying standards of service to meet and exceed expectations and tirelessly seeking opportunities to improve efficiencies and outcomes.
Where You've Been:
Working in event services or a similar field for two years or more
Working directly in customer service for two years or more
Sharpening a strong computer proficiency in Excel, Word, Outlook
Developing strong customer service skills with direct customer interaction
Utilizing multi-tasking abilities and working under last minute, possibly stressful situations with deadlines
Working with multiple vendor/suppliers at once
Partnering with facilities, food services, security, and technology leaders
Working with other service teams across the organization
Proving that expectations are meant to be exceeded
Exercising personal growth and leadership, written/verbal communication and interpersonal skills
Exceeding expectations for high-profile events, including under pressure
Stewarding financial resources and reporting on budgets, as requested
Using standard and advanced software systems

Physical Aspects of Position (include but are not limited to):
Frequent standing and walking
Evening and weekend events
Occasionally engaging with (lifting, pushing, pulling) packages weighing up to 25lbs.
Must be available to work flex schedules with a start time as early as 5:30 AM and an ending time as late as 10:00 PM.

EDUCATION and EXPERIENCE
HS Diploma or GED required and a minimum of 1 - 2 years of related work experience. Prior event coordination, customer service or other hospitality experience preferred.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

OTHER SKILLS and ABILITIES
Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.. Ability to work in multiple software platforms and learn and retain technical software applications quickly.
Good organizational skills. Must work well under pressure with multiple deadlines, and demonstrate a proactive approach to routine and non-routine occurrences.
Ability to work flexible work schedules based on business need.
May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly. Physical ability to assist with document services operations. Able to lift 50 lbs.

Ability to work independently with little supervision.
