We are seeking a highly motivated coordinator to assist our team manage meetings & events for a variety of clients to consistent high standards. Work effectively in a fast-paced environment with multiple clients and competing deadlines. Must have strong attention to detail and stellar organizational skills.
ESSENTIAL DUTIES, RESPONSIBILITIES, AND PERFORMANCE STANDARDS:
Support our team of Event Planners/Managers with all logistical components of the event planning process to include food & beverage, audio visual/production, speaker management, exhibitor and sponsor management, transportation, off-site events, team building activities, décor, print & collateral materials, entertainment and budgeting
Prepare spreadsheets, forms, and documents in support of event planning duties
Review BEOs, specifications, contracts and proposals and handle comparisons
Research vendor capabilities and pricing; perform reference checks
Review RFP responses and create comparison charts
Manage all logistical components of the event planning process for small events
Follow Federal Conference guidelines to ensure tasks are completed in a timely manner and all steps are being completed.
Ensure we have a clear understanding of client needs/goals for the conference to determine appropriate arrangements for each individual event
Work within budget guidelines for accommodations & catering needs while still maintaining high standard and exceeding client expectations
Bachelor’s degree in hospitality, hotel management, event planning and tourism or a related field
1-3 years of experience in event management; hospitality or related field
Strong multi-tasking skills
Professionalism and Work Ethic
Desire to grow and develop event planning skills
Travel: Up to 35% domestic and international
Ability to life 25lbs from waistline, occasional.
