The Department of Electrical and Computer Engineering (ECE) at Carnegie Mellon University (CMU) has been a leader in both research and education for several decades. ECE is an academic community just shy of 1,400 individuals (faculty, staff and students) and includes global research and teaching efforts through extensions of our Pittsburgh academic programs and research in Silicon Valley, Portugal, Rwanda, Thailand and Singapore.
ECE has an immediate opening for an Administrative Coordinator. In this role, you will be a key member of the ECE Administrative Services team and report to the Manager of Administrative Services. You will coordinate and ensure that the administrative functions related to the assigned faculty support cluster are effectively carried out. A faculty support cluster is defined as multiple faculty members and their research and academic teams including undergraduate and graduate students, research scientists, postdoctoral research associates, research and academic collaborators, visiting scholars, technicians and work study students.
Core responsibilities include:
Managing the day-to-day workflow of the assigned faculty support cluster
Composing and preparing confidential correspondence; preparing presentation materials; managing an active calendar of appointments
Completing a broad variety of financial/administrative tasks including expense reimbursements; verifying procurement card purchases; initiating purchase order requests and assisting department buyer(s) with collecting required documentation; equipment, office and technical supply purchasing
Coordinating travel and arranging complex and detailed travel plans, itineraries and agenda
Coordinating event planning process for small research or academic related events (group meetings, seminars, workshops, etc.) including all logistical support (catering, contracts, space reservation, remote connectivity and video communication). Assisting other department event planners with logistical support for larger events
Compiling documents and building agendas for academic and/or research related meetings
Performing specialized administrative support work that requires the exercise of independent judgment, the application of technical skills, and detailed knowledge of University, College and Department level policies and procedures
Acting as an information resource and communicating directly and on behalf of the assigned faculty support cluster with internal and external constituents
Researching, prioritizing and following up on incoming issues and concerns, determining appropriate course of action, referral or response.
Enhancing professional growth and development through participation in ECE sponsored classes, current CMU literature, mandatory staff meetings, and workshops
Collaborating with the Administrative Services Manager on process improvement initiatives related to the administrative functions of the Department. This includes active participation in building and maintaining one or more sections of the ECE Administrative Coordinator's handbook and contributing to team projects as needed
Assisting in the onboarding process of visiting faculty
Perform other duties as assigned
High School or GED required
At least 5 years of administrative support, office management, word processing and data entry experience required
