Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Assistant Director, Reservations & Special Events for the Robeson Campus Center – Newark. Reporting to the Director of Reservations and Special Events. The Events & Program Manager is responsible for the event reservation services, full and part-time staff and student staff supervision, maintenance and inventory of equipment. Oversight of the payroll budget for all Office of Reservations & Special Events (ORSE) staff. The Office of Reservations and Special Events manages the events and operations in facilities across campus including the Paul Robeson Campus Center, 15 Washington Street, and Express Newark. The duties of this position include but not limited to; -Oversees reservations, meeting with student organizations, University departments, and non-University clients. -Manages spaces within ORSE and determine space needs which include but not limited to configurations, lighting and sound needs. -Coordinates security concerns, including crowd management, cash handling and invoicing. -Responsible for recommending expenditures and revenue generating ideas for ORSE on ways to increase revenue generation from external sources (e.g., increased conference business) -Provides support for all on-site facility-related work including building security, management of day-to-day custodial, maintenance and grounds services, work orders, and renovation projects. -Serves as a secondary point of emergency contact for center-specific needs including sheltering students and/or members of the community in an emergency, has on-site secondary responsibility for the safe and efficient operation of the contracted food vendor, which serves more than 500,000 customers annually. -Works closely with the Office of Student Life and Leadership to plan and execute events for student organizations. -Provides leadership for University Open House, Rutgers Day, and Commencement. These events receive University and statewide attendance and require critical leadership from all units within the Department. Also serves as on-site event manager. -Collaborates regularly with other University departments including Facilities, Maintenance, Custodial and Grounds Services, the Security and Technologies Shop, Public Safety, Risk Management, Procurement, Dining Services, REHS, RUTV, Conference Services, Alumni Relations, Admissions, Academic Schools, the Chancellor’s Office, and the Office of the Vice Chancellor for Student Affairs. Minimum Education and Experience:
-Requires a bachelor’s in a related field or an equivalent combination of education and/or experience. -A minimum of two years demonstrated professional work experience in facility management, event management.
Required Knowledge, Skills, and Abilities:
-Excellent management, detail-oriented organizational skills, time management skills, experience in basic fiscal management, and proven successful experience working with diverse groups of staff and students are required. -Also requires a demonstrated competency with setting up and operating basic audiovisual equipment, proving sound reinforcement, and the ability to train on the proper use of such equipment. -Proven proficiency with the use of event management software, such as EMS, in addition to experience with Outlook, MS Word, Excel, PowerPoint, and Publisher.
-Master’s Degree in College Student Personnel, Higher Education Administration, or Hospitality Management. -Certification as an event planner. Current and valid driver’s license.
EMS Event Management Software, Virtual EMS, Social Tables, 7 Point Ops and all audio-visual and A/V technical equipment in the various locations.
Physical Demands and Work Environment:
Ability to lift 20 lbs.
Must be able to spend extended time on their feet/walking.
Must be able to work a flexible schedule, including evenings and weekends as programming demands.
