The Events Planner will be part of a highly collaborative team assisting in the planning and execution of Stanford GSB events, such as high-profile speaker visits, academic conferences, and student-facing educational opportunities. This role will assume responsibility for many facets of event management, including event registrations and attendee tracking; oversight and maintenance of inventory of event supplies; presentation and materials support, including production of name badges, signage, attendee lists, and agendas; and day-of event support; the job will also entail independent management of several small events, and providing additional administrative support as necessary. The Events Planner will need to exercise judgment regarding how to prioritize tasks in the face of frequently shifting priorities, and when to delegate certain jobs to student workers or other staff. The ideal candidate has past experience working in a customer service environment. He or she also has excellent judgment, integrity, flexibility, and creativity as well as a positive attitude, the ability to collaborate and consult, and a good sense of humor.
Your primary responsibilities include:
Serve as a member of an events team, and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics and facilities.
Design, plan, implement, and coordinate customized events.
Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
Consult with stakeholders to determine objectives and requirements.
Inspect event facilities to ensure they conform to the event needs.
Manage accounting and reporting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and/or account transfers.
May serve as project leader on small-to-medium scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
Utilize and/or maintain complex databases. May use specialized event planning software.
May inspect event facilities for maintenance, janitorial and fire safety issues.
Manage the creation and placement of event signage throughout Stanford's campus.
Perform administrative tasks such as printing name cards and signage, organizing and maintaining event inventory, and assisting with event set-up and tear-down.
Be flexible to completing any other additional assigned duties.
To be successful in this position, you will bring:
Associate degree and three years of relevant experience or combination of education and relevant experience.
Demonstrated success planning events.
Ability to work both independently and as part of a team.
Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills.
Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.
In addition, our preferred requirements include:
