The International Institute of Building Enclosure Consultants (IIBEC), an international professional association headquartered in Raleigh, North Carolina seeks a dynamic Assistant Director of Events & Meetings to join our team! The ideal candidate is a self-motivated leader with the ability to multi-task, work independently, and with a team. Exceptional attention to detail and first-class organizational skills are mandatory. This dynamic position will work in a team environment to produce events, meetings, and additional projects as required. This position will report to the VP of Events & Education and will assist in the execution of IIBEC’s objectives.
Provide support and oversight to the various meeting activities including meeting specifications, food and beverage, audio visual requirements, arranging for room blocks, and meeting space floor plans.
Work with volunteer committees, coordinate and manage speaker/educational selections, peer review and paper processes for proceedings, and moderators with the VP of Events & Education.
Assist with development and maintenance of annual education calendar.
Research and review contracts with hotels/venues for educational courses, regional and committee meetings, and other events as necessary.
Prepare and manage rooming lists, travel requests, ground transportation, and reimbursements.
Review and proofing of website meeting information, event signage and promotional materials.
Coordinate, prepare, assemble all material as it relates to meeting and registration packets to include flyers, agendas, forms, etc.
Manage on-site registration, procedures and staffing at Annual Convention and Building Enclosure Symposium.
Manage electronic files related to the meetings and events.
Main contact with hotels/venues for banquet and event orders and audio visual for educational courses, regional and committee meetings, and other events as necessary.
Coordinate and manage all hotel reservations for Board of Directors, VIP’s, speakers, and staff to include travel arrangements for symposia, annual convention and other events as necessary.
Develop and adhere to event budgets in concert with VP of Events & Education.
Maintain histories and statistics and financial reports of events.
Create and analyze online evaluations and prepare post-event reports.
Perform all other duties as assigned.
Bachelor’s degree in Meeting Planning/Hospitality Management or a similar field and 5+ plus years professional meeting experience (non-profit or association experience preferred).
Certified Meeting Planner (CMP) designation or American Society of Association Executives (ASAE) training a plus.
Excellent organizational skills for maintenance of records and procedures.
Ability to plan and effectively present ideas and concepts to groups.
Exceptional oral, written and interpersonal skills. Exceptional client service skills and enjoys working with the association members.
Strong time management skills and ability to manage concurrent tasks efficiently.
Superior attention to detail; first-class organizational skills, high energy, positive, professional attitude, pride in work product.
High level of energy to work in fast-paced and deadline-oriented environment and ability to work on various projects simultaneously.
Proficiency with Microsoft Office – Word, Excel, Outlook and PowerPoint as well as working knowledge of InDesign. Prior experience with membership database software or cloud-based association software is preferred.
