Loyola Marymount University seeks a Senior Special Events Coordinator (Senior Administrative Coordinator) to provide administrative support and coordinator assistance for the Special Events Department in organizing and managing special events executed for the University Advancement division.
The Senior Special Events Coordinator (Senior Administrative Coordinator) will support Event Managers in preparing for, managing, and evaluating the success of special events for Alumni Engagement department. These duties include managing online registration system and serving as one of the registration super users for the department. The Senior Special Events Coordinator (Senior Administrative Coordinator) will set up online registration pages for events, troubleshoot registration issues and process RSVPs. This position will also be responsible for managing pre-event preparation and coordinating day-of operations, managing on-site registration for guests, processing payments before and during the event and coordinating marketing plans for signature events as needed in collaboration with University Advancement Communications staff and with direction from Event Manager and Project Lead. Other duties will include troubleshooting at events, working with Advancement Information Services department to process event gifts as necessary, responding in a timely manner to inquiries received through the Special Events hotline and email in-box, preparing and tracking expense summary and final invoicing of events and the maintenance of a small portfolio of events.
Qualifications and Application
For this position, typically a bachelor Degree in Event Planning or related field or equivalent experience is required with four years’ experience in an office support role, which includes some knowledge of computerized databases, Excel spreadsheets, registration software, social media applications, event planning and other basic computer programs. Cvent and/or iModules experience is a plus. The successful candidate should also possess basic knowledge in the areas of event planning, including logistics, site selection, menu selection, A/V equipment needs, décor and registration needs. The Senior Special Events coordinator should have good interpersonal and organizational skills with an attention to details and should be able to multi-task and follow-through with tasks. The role requires working some evenings, weekends, and overtime. Incumbent will be expected to comply with university requirements for cart certification and will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
