The Administrative Supervisor will manage the administrative support staff within the Divisions of Neuroradiology, Neuro Research, Diagnostic Imaging, MSK, and Ultrasound. The position will also provide additional administrative support to the Vice Chair of Integration/Medical Director of Imaging and the Associate Administrator of Radiology. The position will report to the Sr. Administrative Manager for Neuroradiology/Diagnostic.
Supervises the administrative staff including Sr. Administrative Coordinators, Administrative Coordinators, and Administrative Secretaries.
Maintains appropriate staff levels to support the divisional and departmental administrative functions.
Provide proper training for skill development and onboarding to all new and existing staff.
Complete 120 day and annual performance evaluations for all administrative staff.
Ensure E210 management by monitoring time and attendance for staff
Assists with the hiring process for administrative staff.
Works with Associate Administrator on reviewing all post-doc, visiting trainee, and visiting professor requests from all divisions.
Work with Radiology Credentialing and HR on assuring all requests have proper documentation.
Independently manage faculty calendars: organize high level meetings, make appropriate arrangements for meetings, compile and prepare materials, confirm meeting details, assist with communication and other details as needed, prioritize meeting requests and response times.
Coordinates travel for national and international meetings.
Arranges multicenter collaborative conferences.
Acts as the meeting planner, including technical assistance with teleconferences and webinars, prepares materials, slides, etc.
Assist with publication submissions, PubMed, etc.
Prepare and edit correspondence for the faculty.
Place purchases orders, shopping carts, and pay invoices using SAP.
Other duties as assigned.
High School Diploma or GED required.
Five (5) years responsible administrative experience required.
Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
One (1) year supervisory experience.
