1. Responsible for the day to day administrative activities of FSNA and the FSNA Foundation and provides support to the Executive Director.
2.Provides consultation and advice to Executive Director on issues relating to bookkeeping and finance.
3.Responsible for human resources duties, including: employee insurance, benefits, state compliance paperwork, payroll, reference checks, and time and leave records.
4.Develops standard operating practices.
5.Maintains FSNA partner agreements and contracts and advises the Executive Director on agreement inclusions.6.Maintains FSNA insurance policies, works with agent on renewals, and advises Executive Director on recommended coverage.
7.Maintains association files and ensures that the association’s records and legal documents are safeguarded.
8.Maintains inventory of supplies, office equipment and furnishings.
9.Manages the association’s building, tenant relations, leases, grounds maintenance, and security system. Issues security cards for the building.
10.Participates in the planning, development and implementation of short term and long term objectives of the Association.
11.Maintains building licenses and taxes.
BOOKKEEPING & ACCOUNTING
1.Ensures all internal bookkeeping/accounting operations are consistent with generally accepted accounting principles for FSNA and FSNA Foundation.
2.Responsible for daily bookkeeping activities for FSAE and FSAE Foundation including all AR/AP functions, payroll using payroll service, GL accounting, data entry of all transactions, invoicing, preparing bank deposits, preparing checks for signature, recording of all incoming cash, checks, and credit cards received.
3.Ensures proper processing of all income, including membership dues, foundation donations, advertising income, event registrations.
4.Reconciles monthly, bank statements, investment accounts and company credit card statements.
5.Prepares quarterly financial statements and other financial reports for Executive Director.
6.Serves as custodian of the petty cash, reconciling monthly, and preparing reports.
7.Monitors income and expense trends and consults with Executive Director on variances to budget and recommends alternatives.
8.Serves as direct liaison with outside CPA/Accounting Firm, insuring that association is operating and functioning properly. Assist and provide CPA information for annual audit.
9.In conjunction with the CPA and Executive Director insures that all of the association’s financial policies, internal controls and generally accepted accounting principles are followed.
10.Develops financial policies and procedures for FSNA.
11.Invoices ad sales for association publications, monitors and initiates collection procedures as needed.
12.Maintains postage accounts for mailing of publications.
13.Other bookkeeping tasks as assigned.Manages
1.Manages FSNA membership database to include uploading monthly reports from the national association, monitoring entry of local chapter data by membership coordinator, creates reports, downloads membership lists of all types, facilitates updates as needed, and assists in migration to new database if needed.
2.Creates annual election forms and mailing lists and manages elections.
3.Modifies forms within database as needed. Creates registration forms for FSNA events.
ANNUAL CONFERENCE/OTHER MEETINGS
1.Coordinate all aspects of registration process for the Annual Conference, Legislative Action Caucus, Leadership Conference and Education Expo.
2.Manages registration desk at all events, with help of staff and volunteers.
3.Works with meeting planner and staff on pre-meeting tasks, as needed.
4.Assists with other educational programs or events, as needed.
5.Coordinates House of Delegates.
COMMITTEE & CHAPTER LIAISON
1.Serve as the staff liaison to certain committees as determined by the Executive Director.
2.Sends national association annual reports and other required documents.
3.Advises Chapter Presidents on maintaining their 501 (c ) (6), membership management, finance, and bookkeeping responsibilities.Member Communications 1.Monitors staff on maintaining list serves. 2.Assist with distribution of membership services and recruitment materials to chapters.
3.Assist with distribution of membership certificates to chapters.
1.Assist with the review of programs & services offered to the FSNA membership and making program recommendations.
2.Responsible for other assignments that might be periodically or permanently assign ed by the Executive Director.
REQUIRED TECHNICAL SKILLS AND KNOWLEDGE•Extensive experience and proficiency with QuickBooks.•Proficiency with Microsoft Office Suite, including Word, Excel and Outlook.•Knowledgeable of database/association management software, preferably MemberClicks •Strong understanding of accounting and HR practices•Strong communication and crganization Skills, including ability to write organized, grammatically correct, complete letters and emails.
OTHER RELEVANT ASPECTS OF THE POSITION Position may require evening and weekend work during certain periods of the year. In addition, the position requires travel to the annual conference, board meetings, and other meetings/events during the year.Essential Abilities – Able to:

The Florida School Nutrition Association is a united group of school food service and industry professionals working to achieve the optimal health, nutrition, and education of children by proving nutritional, affordable
school food programs. FSNA membership includes 3100 members who are county school nutrition directors, cafeteria managers, cooks, servers, cashiers, dietitians, and sanitation workers.
