The Memorial Union at Iowa State University (ISU) is seeking qualified candidates for an Event Planner I to independently plan, coordinate, and implement events, conferences, conventions, meetings, etc. that can range up to 600 participants.
The Event Planner I coordinates logistics such as event services, electrical, custodial, staging, lighting, sound, catering, security, and safety with the MU event operations team, MU building partners, and other campus partners such as Risk Management, Facilities Planning & Management, Environmental Health & Safety, and the Parking Division. This position consults with clients on event planning in person, virtually, by telephone, or email. The Event Planner I utilizes event reservation software (EMS) to schedule events for the Memorial Union and diagramming software (Social Tables). Administration responsibilities of this position include: event coordination, project management, and customer service. The Event Planner I will provide onsite event support to large events during and outside of normal business hours, check the physical setup of meeting rooms throughout the day, and help with physical setups when needed. Other duties include coordinating event contracts, marketing the event venue and event planning services to generate revenue, and creating and implementing strategies to increase utilization, events, and services. The Event Planner I communicates setup needs and timing with the event operations team, resolves conflicts in reservations and setups, and interprets general policies and procedures of the Memorial Union. In addition, this position will perform other duties as assigned such as participating in programming, committee activities, and Memorial Union events.
The successful candidate must have excellent oral and written communication skills, excellent customer service, and high attention to detail with the ability to manage multiple ongoing tasks. Candidate must also possess the ability to work with a diverse student body, faculty and staff with a commitment to Diversity, Equity and Inclusion.
Preferred Qualifications: Experience coordinating and executing complex, multi-faceted, large scale events. Experience creating room layouts with diagramming software. Experience coordinating with multiple campus and community partners at one time. Customer service experience. Experience interpreting university policy and procedures
