Summary of Position and Duties:
Work closely with Vice President of Services, Convention Sales Department, Marketing, Austin Convention Center and Austin hospitality community.
Assist with planning, evaluating and supporting the activities for the department.
Ensure the highest quality customer service delivery to convention groups and conventioneers by working directly with convention meeting planners to provide necessary services during the planning process and through execution of the convention.
Provide convention services for groups with a focus on city-wide conventions as well as smaller in-house hotel only meetings.
Coordinate and activate client site visits to Austin when applicable. This may include, but is not limited to, securing hotel accommodations and developing an itinerary that covers what is important to the client’s site visit goals. Evening and weekend entertaining will be required.
Maintain accurate records in the database to track services provided and for monthly reporting.
Refer clients to venues and local suppliers daily through lead and referral system.
Maintain good knowledge of Austin as a destination and all that it has to offer clients.
Keep Vice President of Services informed of any customer concerns or industry related issues.
Provide support and input for development of annual marketing plan as it relates to areas of responsibility. This includes goal setting, strategies, tactics and action plans.
Help lead the efforts to provide a common link of referrals between the convention/visitor attendees and the local tourism related business community.
Represent Visit Austin by communicating and presenting to stakeholders in the community.
Help to maintain updated information on local supplier resources, companies and venues in the database through continuous outreach to the hospitality community.
Assist in mentoring more junior members of the department.
Collaborate with staff to problem solve solutions.
Actively participate in staff, department and industry meetings.
Always present yourself in a mature, professional manner when at work or at functions representing Visit Austin.
Have a good understanding of all policies and procedures of Visit Austin and follow them as appropriate.
Complete all assignments and special projects as assigned by the Vice President of Services in a timely manner.
Perform other duties as required by the Senior VP of Sales and Services and President and CEO
Key Qualifications and Skill Requirements:
Associate’s degree or higher required. Additional job-related experience of 5 years or more may substitute.
Five or more years of conference/event management, full service convention/resort hotel, convention center, destination management company experience required.
Capability to assist in planning, directing, and evaluating a complex operation, using manpower, time, funds, and other resources for the accomplishment of long-term and short-term goals of the institution.
Establish and maintain effective work relationships with staff, clients and the public.
Ability to provide administrative guidance within area of responsibility, providing direct training and supervision as needed.
Possess the ability to apply budgetary and fiscal planning techniques within financial constraints.
Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
Ability to integrate resources, policies, and information for the determination of procedures, solutions, and other outcomes.
Ability to communicate effectively orally, by phone, in person, and in writing.
