The Alumni Center Facilities and Services team is seeking a part-time Event Manager. This is an exempt 75%-time position at 30-hours per week with some work falling on the evenings and weekends. We host a variety of events including intimate meetings, multi-day conferences, high-level receptions and dinners, and fun student dances! Our ideal candidate is professional, well-organized, independent, driven, and a team-player with a positive attitude. This position is highly customer service oriented and requires an ability to multitask in a fast-paced environment.
In this role you will:
Utilize and maintain an event database for space and resource management.
Initiate and lead meetings with stakeholders to plan the scope and format of events, establish and monitor budgets, and/or review administrative procedures and event progress.
Serve as project leader on specific events: coordinating teams that plan, implement, and manage all aspects of events such as: marketing, vendors, catering, Event Services, Building Grounds & Maintenance, and transportation.
Responsible for budget planning and management, venue management, and equipment and facilities management for specific events.
Build and maintain relationships with internal and external partners.
Procure and coordinate vendor services. Negotiate vendor contracts, collect documentation and certificates to minimize liability and risks.
Investigate, document and report complaints regarding all aspects of events including customer service, crowd control and staff issues.
Inspect event facilities for maintenance, janitorial and fire safety issues, ensuring enforcement of Environmental Health and Safety and other facility regulations. Arrange for correction if issues are found.
Communicate with visiting entities such as vendors, teams, professors, coaches and officials for assigned events.
Train and supervise temporary event planners in proper execution and implementation of events.
Document and update training manuals.
May oversee support staff, students, and contingent event staff.
To be successful in this role, you will bring:
Bachelor's degree and at least three years of relevant experience; or a combination of education and relevant experience.
Excellent written and verbal communication with some marketing skills. Extreme attention to detail, diplomacy, patience, and tact.
Project management skills; ability to manage complex timelines and multiple projects.
Flexibility with work schedule, including evenings and weekends.
Ability to work independently and as part of a team.
Demonstrated high level of confidence in making strategic decisions, good judgment, and creative problem-solving skills.
Working knowledge of Microsoft Office as well as Google Suite.
A commitment to promoting and supporting an environment of diversity and inclusion.
Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
Occasionally, kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push objects that weigh 21-40 pounds.
