Under the general supervision of the VP of Events, the Director of Events and Meetings will assist in the development, management, and coordination of the IIBEC annual convention, symposia, and meetings both in-person and virtual.
Provide support and oversight to the various meeting activities such as the International Convention & Trade Show, Building Enclosure Symposium, and Canadian Building Enclosure Symposium
Work with VP of Events to review all contracts & RFPs
Coordinate and manage keynote speaker selections and moderators and work with Director of Education on the scheduling of educational offerings
Work with VP of Events to prepare annual meeting budgets
Create improved member experiences at events
Facilitate and oversee virtual component to meetings and events
Assist in the development of marketing/promotional materials for meeting department
Prepare and manage travel requests, ground transportation and reimbursements
Review meeting websites information, event signage and promotional materials
Assist with on-site registration, procedures and staffing at annual convention
Manage speaker recordings for the International Convention & Trade Show and Symposia
Research and contract with hotels/venues for site selection
Primary contact with hotels/venues for banquet and event orders and audio visual for symposia
Staff liaison to the Building Enclosure Symposium Committee and the Canadian Building Enclosure Symposium Committee and designated task forces
Perform other duties as assigned
A bachelor’s degree is required, plus five years of professional meeting experience (non-profit or association experience preferred). Certified Meeting Planner (CMP) designation or American Society of Association Executives (ASAE) training a plus.
This position requires experience in negotiating contracts with hotels, speakers, vendors, etc. A positive demeanor with association members, staff and vendors is a necessity. Candidate must possess excellent verbal and written communication skills, superior attention to detail, the ability to multi-task and exceptional member service skills. Travel is required.
Additional requirements include experience with Microsoft Office Suite, Zoom, GoToMeeting, event platform software, health assessment software, as well as working knowledge of InDesign. Prior experience with membership database software or cloud-based association software is preferred.
