The Undergraduate Division is currently one of the six divisions in the College of Letters and Science. The primary charge of the division is the academic well-being of the more than 21,000 undergraduates in the College, 73% of Berkeley's undergraduates. Undergraduate Studies is organized into three primary areas that serve undergraduates in the College of Letters and Science and across campus: Academic Engagement, Undergraduate Advising, and Undergraduate and Interdisciplinary Studies Academic Programs (UGIS).
UGIS is a center for innovation in undergraduate education that extends beyond traditional departmental boundaries and brings together 30 lecturers and faculty from across campus as well as 70 academic student employees to teach in the department's degree programs. Together, these degree programs attract undergraduates who wish to explore intellectually engaging and promising interdisciplinary areas of study. The 3 UGIS majors include American Studies, Interdisciplinary Field Studies, and Media Studies which number more than 700 declared majors in total. The 5 UGIS minors include American Studies, Applied Language Studies, Creative Writing, Disability Studies, and Politics, Philosophy, and Law. In 20-21, UGIS awarded minors to 160 students.

Responsibilities
Academic Advising:
- Advise students about admission to the major and completion of major program requirements, including how to plan for an alternative major pathway given the high demand for the Media Studies major.
- Help students to define realistic academic goals and gain an understanding of how to achieve these goals within a particular interdisciplinary major program.
- Drawing from an understanding of course content and area of interdisciplinary inquiry, help students devise their academic focus within the UGIS programs and prepare them to present their program of study for faculty advisor review.
- Update and maintain student's Academic Progress Report (APR); certify completion of degree requirements and honors designation.
- Keep abreast of relevant course offerings across the College and campus and maintain connections with student services staff across the campus.
- Maintain thorough knowledge of University and College policies; assist students in taking full advantage of the numerous campus programs for education abroad, internships, research, scholarships and graduate school preparation.
- Refer students to various campus resources based on their academic progress and any non-academic barriers.
Scheduling/Enrollment Management:
- In close communication with program directors, faculty, and UGIS Manager, track the curriculum offerings and schedule courses based on a thorough understanding of the intricacies of Campus Solutions.
- Monitor and analyze shifting enrollment patterns, adjust seat reservations accordingly, and promote courses to students as needed.
- Analyze waitlists for courses and determine which students are eligible to enroll in impacted courses.
- Balance competing demands such as instructor requests, facility needs of the courses, student and overall program needs, communicating regularly with a wide range of departments regarding cross-listed and other program-related courses.
Academic Program/Curriculum Policy and Analysis:
- Advise faculty director(s) on the formulation of department policy by identifying areas needing clarification and proposing solutions.
- Analyze the consequences of program academic policies and recommend new or changed policies.
- Review program curriculum and make recommendations for changes to better accommodate student demand and areas of focus.
- Coordinate approval of substitution of major requirements and transfer evaluation credit in consultation with faculty.
- Coordinate, review and advise program director and faculty on transferability and applicability of non-UC Berkeley courses and/or courses on campus within or outside of the department that may affect ongoing requirements.
- Serve as liaison with COCI, prepare course approval material, and maintain articulated transfer credit agreements.
Event Planning and Coordination:
- Serve as program event planner, including detailed planning for large annual commencement ceremony, Cal Day, GBO orientation meetings, and shorter-term planning for events such as major application workshops, presentations, alumni panels, and other program sponsored events.
Program Administration and Coordination:
- Serve as academic program record-keeper and a historical resource for all decisions concerning major requirements, exceptions, and practices relevant to the major programs.
- Create and maintain student files and records, database, student listserv, webpage, handbook, and catalog entry to ensure accuracy.
- Coordinate faculty office hours.
- Maintain program administrative files.
- Create, maintain and share current calendars of processes and procedures, upcoming events, and deadlines.
- Provide backup for other advisors in UGIS.
- Maintain familiarity with all programs housed in UGIS-including general knowledge of major/minor requirements, admissions procedures, scheduling/enrollment, course offerings, etc.
- Maintain professional development goals; participate in required workshops and trainings as well as occasional on-campus and off-campus professional development opportunities.
Required Qualifications
- Advanced knowledge of undergraduate advising and counseling techniques.
- Thorough knowledge and understanding of (or can quickly learn) University, College, and departmental policies, procedures and requirements.
- Understanding of the nature of interdisciplinary inquiry.
- Skills in judgment and decision-making, problem solving, project management.
- Ability to work in a team environment and independently.
- Strong interpersonal skills and student services and customer services orientation.
- Strong written and verbal communication skills and experience working with a diverse population of students, faculty, and staff.
- Attention to detail and strong organizational skills.
- Ability to multi-task, work with regular interruption, and prioritize in response to changing demands.
- Experience in problem identification, reasoning, ability to develop original ideas to solve problems.
- Bachelor's degree in related area and / or equivalent experience / training
Preferred Qualifications
- Experience working with interdisciplinary programs.
- Familiarity with Letters and Science departments and curriculum.
- Familiarity with (or can quickly learn) university systems, such as CalCentral, SIS/Campus Solutions/Scheduling, 25Live, BOA (Berkeley Online Advising), CalAnswers, GoogleSuite, MS Office Suite.
Salary & Benefits
Annual salary will be commensurate with experience within the range of $65,000-$73,000.
