The Scheduling and Events Coordinator is responsible for the coordination of comprehensive and routine non-academic scheduling of events for University functions facilitated through the computerized scheduling system. The Coordinator is the main point of contact for student event scheduling, policies and approvals. This position plays a key role in working with student organizations and disseminating event information, training, and assisting students with the event planning process. This position supports Bucknell University's mission and upholds its quality standards of offering outstanding service.
Job Duties: Facilitate requests for the calendaring and scheduling of co-curricular and social events for campus facilities. Assure applicable approval processes are completed through the use of DocuSign for events, fundraisers, MGMT 101, etc Coordinate all requirements for events with event planners from identifying the resources needed, including but not limited to reserving meeting/eating spaces, and coordinating needs for catering, technology, public safety, parking, and setup Create event diagramsusing 3D Event Design software. Enter all calendar and scheduling data/information into the EMS scheduling system, as well as generate and distribute event confirmations and event reports. Facilitate and schedule requests for F.D. Brown Conference Center and CLIMBucknell Ropes courses. Inform and update F.D. Brown Conference Center caretaker on new scheduling, cancellations and changes. Serve as office liaison to Fraternity and Sorority Affairs to help train, schedule, and coordinate on-campus event details for fraternities and sororities. Serve as primary scheduling advisor, providing relevant information to individuals or student groups seeking to sponsor programs regarding facilities, university policies and procedures, and other events and activities scheduled on campus. Work with the Assistant Director to create training and marketing materials for student groups and organizations on the current scheduling policies and processes (i.e. Lessons on Leadership for Student Event Planners, MGMT 101, Fraternity & Sorority event planning). Assist with managing Reunion Housing, including taking reservations, key management and distribution, managing room assignments, and running reports and metrics. Assist the Director of Non-University Events & Support Services with execution of summer camps and conferences by scheduling and coordinating logistics for assigned summer sports camps and/or conferences. Support events as needed which will include occasional nights and weekends. Maintain working knowledge to support other aspects of the Events Management Office when needed: Transportation, Switchboard, Keys, Lost & Found, Box Office, and Guest Housing. Support the mission of the University and maintain high standards by providing quality service and working collaboratively. Work collaboratively with EMS office team with upgrades and changes and works proactively to find solutions for improving the system. Maintain good working relationships with other schedulers in the Provost's Office, the Athletic Department, Campus Activities and Programs, Fraternity & Sorority Affairs, and the Weis Center. Maintain office confidentiality. Other duties as assigned.

Minimum Qualifications: High school diploma or equivalent and a minimum of 2 years of experience in providing outstanding customer service in an events coordination/management environment. Excellent communication skills. Excellent organizational skills and methodical working style. Project management skills. Positive / proactive personality. Ability to manage multiple responsibilities, adjust priorities in a very busy environment, and work independently. Proficiency with computer systems, the internet, standard office systems and basic business practices.
Preferred Qualifications: Working knowledge of EMS(Event Management Software), DocuSign, and Canva or similar design programs Project management experience in a higher education setting Bachelor's Degree
Physical Demands: Ability to lift up to 25lbs and support event setups. Work Type: This is a full time, year round, benefits eligible position.
