The Program Coordinator works closely with the Vice-President, Membership and Development, the Education and Events Manager, and the Director of Marketing & Communications to produce FSAE learning opportunities, to facilitate a smooth registration process for all events, to maintain the FSAE membership database, and to communicate with members on a regular basis and engage on social media platforms. Candidates for this position should have some experience in association or non-profit management and must possess exceptional customer service skills. A four-year degree is preferred. Reports directly to Vice President, Membership and Development.
Primary duties and responsibilities are as follows:
Interact with members and potential members on a daily basis by answering calls and emails and re-routing messages to other staff members as needed;
Maintain an ongoing list of new members and manage the new member packet mailings
Enter member prospects into the database system and updating current members’ information on a regular basis;
Research prospect members and add them to the database
Coordinate and/or assist in “table projects” throughout the year as needed;
Gather member information for various publications.
Assist staff with maintaining the Membership Database to ensure that member and prospect contact, demographic, and organization information is up to date.
DEVELOPMENT & FUNDRAISING
Assist with running the Foundation Auction by uploading information on donation solicitations to the website and maintaining hard-copy records;
Assist in applying for Auction item donations;
Design and implement social media campaign for Silent Auction;
Track Foundation donors and schedule thank you letters and other mail campaigns as needed;
Eventually transition to wholly managing the Foundation Auction.
Assist staff with other duties as needed.
EDUCATION AND EVENTS
Act as Co-Staff Liaison with the Education & Events Manager for the Education Committee.
Coordinate Roundtable Program including selecting speakers and topics, gathering marketing materials, securing venues and sponsorships, and promoting events to regional members.
Work with Education Committee volunteers to schedule volunteer hosts for Roundtable events.
Create event registrations for all events in the database and manually register members for online programs through the Learning Management system and in-person events as needed;
Work with Education & Events Manager to schedule speakers for all events;
Coordinate online education efforts working directly with Director of Marketing and Communications, including submitting topics, pulling sales or registration reports, and regular communication with service providers on updates;
Facilitates sponsorship reporting and deliverables following Roundtables, Power Luncheons, and other events as needed.
Coordinate the pre-event and post-event work, including printing and stuffing badges, printing tent cards, and writing thank you notes to attendees and speakers;
Input CEUs into Membership Database after each event. Provide credit certificates to members upon request.
Assist the Education and Events Manager with other projects as needed.
Gather marketing materials for Roundtable events and other events as needed. Create marketing materials as needed;
Assists Director of Marketing & Communications with creating and implementing Social Media promotions and campaigns;
Send targeted email blasts to promote Roundtable programs and other events as needed;
Send reminder and thank you emails for each Roundtable, and other events as needed;
Assists Director of Marketing & Communications with managing online learning management system.
YOUNG & EMERGING PROFESSIONALS COMMITTEE LIAISON
Serve as staff liaison for the Young & Emerging Professionals Committee
Work alongside YEP Committee to create educational and networking opportunities for members.
Create and implement a social media campaign for YEP Programs.
Collaborate with staff to provide committee outreach to new and prospective Young & Emerging Professional members.
REQUIRED SKILLS AND KNOWLEDGE
Proficient in using database management software programs; MemberClicks by Personify preferred;
Proficient in using Microsoft Office Suite Software, including Word, Excel, and Outlook;
Basic knowledge of website management;
Basic knowledge of event planning;
Experience working alongside volunteers and coordinating their efforts;
Social Media familiarity – Facebook, Instagram, LinkedIn; Canva graphics knowledge a plus
Critical eye for proofing marketing materials, magazine, and newsletters;
Possesses strong customer service skills with a history of providing exemplary customer service;
Able to work collaboratively as part of a larger team.
OTHER RELEVANT ASPECTS
Position may require some evening and weekend work during certain periods of the year (particularly during annual conference);
Position will require some travel (less than 15% total).
