The Education Programs Coordinator is responsible for speaker coordination for in person and virtual events. This role communicates and coordinates relevant information to all parties in preparation for events ranging in size from 50-100 attendees as well as the NACD’s annual conference with up to 2,000 attendees.
Essential Duties And Responsibilities
Assists with the content coordination of several events including the annual conference
Composes speaker contracts, working with the General Counsel as needed, and distributes, collects and files speaker contracts.
Manage contacts with all speakers regarding gathering required conference documentation including bios, abstracts, AV needs, travel arrangements, and other requirements relevant to speakers’ presentations and conference experience.
Collaborates with the event meeting planners for hotel arrangements.
Registers speakers for events
Manages speaker information within database and on NACD website including updating event agendas for NACD events.
Builds and maintains event resource web pages, uploading the electronic versions of agendas and program materials
Reviews content for marketing materials and conference web pages to ensure accuracy of speaker and event details.
Assists with creation, distribution and collection of program evaluations. Provides reports and analysis to support the Education Programs team.
Oversee all speaker data (current/prior), speaker proposals, and speaker evaluation scores in the speaker database.
Schedules content-planning calls for all NACD events.
Coordinates with content leads for assigned sessions at the NACD annual Summit
Processes expense reimbursement for speakers and compares to contract allowances. Tracks speaker travel, fees, hotel, pre-approval for expenses, and special requests.
Coordinates session requirements with logistics and technical leads
Uploads and maintains speaker content on the conference apps.
Completes initial review of speaker presentations including content and format. Ensures presentations are received in a timely manner. Provides speaker presentations for upload prior to the event for both in-person and virtual delivery.
Coordinates project tracking needs and dashboards for status updates on speaker deliverables.
Performs other duties as assigned
Education/Qualifications
Bachelor’s degree (or equivalent experience) and a minimum of two years of administrative and/or project management experience in a business environment is required. Program experience is a plus. Must exhibit a high level of proficiency with Microsoft Office suite. Experience with Salesforce and Cvent is preferred. Excellent interpersonal, verbal, and written communication skills required. Must be comfortable interacting with company board directors, C-suite executives, and other governance experts. Must exhibit excellent time management, organization, and prioritization skills, and demonstrate ability to grasp and synthesize new information and adapt to a fast-moving, growing environment. Ability to handle multiple priorities, meet deadlines, follow-through with minimal supervision, exhibit strong team orientation, and demonstrate a commitment to meeting goals is required.
NACD employees are required to be fully vaccinated for the COVID-19 virus by their first day of employment. An employee is “fully vaccinated” two weeks after receiving their second dose of a two-dose vaccination series or two weeks after the first shot of a single-dose vaccine (or as described by the vaccine manufacturer).
