Conference Center Lead Events and Meeting Planner
Job Description Summary
The Conference Center is a key city asset owned and operated by the Ewing Marion Kauffman Foundation. The Conference Center is open to 501(c)(3) organizations, as well as local and state government organizations. We work with various organizations, including grantees of the Kauffman Foundation and Kauffman Associates, by helping them plan their events at our venue.
Job Description
Assist with Kauffman hosted events held at the Conference Center and offsite venues, as needed, by coordinating the catering, audio visual, room setups, rentals, etc.
Maintain Kauffman standards during the planning process regarding budgets, messaging and materials, entertainment, and travel and lodging.
Work directly with Kauffman associates, facilities team, catering team, security, and contracted travel vendor on aspects of events.
Assist Kauffman events with sourcing and contracts for hotel sleeping rooms, venue rentals, and ground transportation.
Maintain Conference Center calendar and schedule meetings for new and returning clients.
Review Reservation Request Forms for new meeting requests to determine if the meetings qualify to use the space per the guidelines.
Understand and maintain Conference Center guidelines during the booking and planning process of meetings.
Work with clients to plan all details of their event including catering, audio/visual, and room set-ups.
Clearly enter all catering and meeting details for chefs and catering staff. Make any changes in a timely manner to ensure updates are received by the chefs and catering staff as soon as possible.
Work with the chef on any customized catering menus or catering orders that have dietary restrictions or allergies.
Lead weekly meetings to review the following week's activities with the catering and conference center staff.
Understand the audio/visual options available in the Conference Center to help clients with any setup or planning to determine what is needed.
Provide evening, weekend, and PTO coverage, as needed.
Oversee the annual summer intern in the Conference Center.
Any additional duties or responsibilities as assigned by the Operations Manager.
Qualifications
i,* 8+ years of experience in meeting or event planning
i,* BacheloraEUR(tm)s Degree or equivalent years of experience
i,* Ability to navigate Outlook, Word, Excel, and Power Point
i,* Experience using scheduling or catering software (preferred but not required)
i,* Excellent customer service skills
i,* Understanding of standard audio/visual equipment
i,* Ability to work on a team or work independently, as required
i,* Good problem-solving skills and can work under pressure
i,* Highly organized and strong communication skills
