JOB PURPOSE:
Stanford University has an immediate opening for a full-time Event Planner in the Office of Student Engagement (OSE), an energetic office that supports student organization-produced programs and campus engagement, reporting to the Operations Manager. This position will be a hybrid role, with an expectation of being in the office at least 2-3 days per week, and more as needed to meet student and departmental needs, such as in-person event support.
The Event Planner will plan and execute staff and student-led events, Cardinal Nights programming, conferences, festivals and other university related events to create a vibrant campus life. Plan and manage logistics, vendors, and budgets. Provide on-site event support, including some nights and weekends. May research and provide recommendations for potential event locations and evaluate alternatives. The position requires a proactive, organized and collaborative individual with strong attention to detail and superior problem-solving skills who partners with a diverse range of stakeholders, and thrives in a fast-paced environment.

CORE DUTIES:
* Initiate and lead meetings with students to help execute major events and advise on administrative procedures and scope of events. This includes connecting with stakeholders, recommending vendors and advising on work orders. * Establish and monitor event budget. Manage programming funds including in-house executed events, co-sponsored events and grants distributed to others. * Build partnerships with existing offices and programs that focus on campus life with a goal of providing coordinated, streamlined interventions and programming. * Develop and maintain a cohesive campus social calendar that promotes student-focused events and consolidates information on alternatives to campus parties. * Manage, develop and execute events for programs such as Cardinal Nights, The Arbor and Social Project programs with stakeholders, including students. * Lead event execution process from beginning to end, including but not limited to: analysis of need, talent acquisition, negotiation of contracts, securing of space, hiring of vendors, promotion to student body, management of social media pages, engagement of student volunteers, day-of execution, assessment of satisfaction and impact, and resolution. Assist with procuring venues and equipment for events. * Provide regular updates to senior leadership regarding the operations and impact of campus life programming. * Review post event feedback to produce events that continually engage the student body. Meet regularly with students from a broad cross-section of campus to assess needs and ensure interventions are effective. As needed, develop and support student advisory boards and other student involvement structures that aid in job functions. * Train and supervise event planners and students in proper execution and implementation of events. * Other duties as assigned.
MINIMUM REQUIREMENTS
Education and Experience:
Bachelor's degree and three years of relevant experience or combination of education and relevant experience.
Knowledge, Skills and Abilities:
* Superior project and event management skills. Must be detail oriented and well organized. * Ability to manage a diverse team of staff * Demonstrated experience with event budgets requiring excellent analytical skills. * Extreme attention to detail and deadlines; ability to prioritize and manage complex workflows. * Excellent communication, time management, and customer service skills. * Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem solving skills. * Ability to interact and successfully collaborate with a broad spectrum of contributing groups and individuals. * Serve as project manager of multiple activities, scope out project tasks/team assignments and guide team to create work plans and schedules, monitor progress, and meet milestones. * Establish and maintain relationships with internal and external university partners. * Act as department representative at cross-departmental project meetings. * Recommend and schedule events into appropriate off-campus and on-campus venues. * Oversee registration strategy and logistics.

The expected pay range for this position is $72,000 to $81,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
