This position helps to conduct the smooth operation of a fast-paced and friendly private wealth advisory practice and assists in the daily business operations by managing client contact and services to ensure client satisfaction. Provides assistance in a variety of administrative and client service functions with a strong emphasis on professionalism.

Responsibilities
Manages client contact to ensure client satisfaction and provides support to Advisor(s) through innovative and successful resolution of client service issues and process implementation.
Implements and coordinates activities related to the Client Service Model for the Practice. Develops and implements plans for improving overall client experience.
Builds client relationships and establishes yourself as the primary point of contact for service needs by greeting incoming clients for the Advisor, attending client events, answering emails and phone calls when appropriate, and identifying opportunities to create WOW moments for the client.
Works directly with Advisors and other departments to ensure all client pre-and-post-visit/call tasks are complete. This includes, but is not limited to:
Coordinates additional prep when appropriate.
Creates tasks for follow up to all appropriate team members: CSS Team, Insurance, Investments, Marketing, and Financial Planning.
Submits meeting notes in Ameriprise CRM (Salesforce) or Online File Manager.
Scans client materials and electronically filing client data, client meeting planners, and other forms and documents within Ameriprise Compliance Manual records retention requirements.
Pre-schedules next visit (if not done in prep); and
Communicates directly with client any follow up on service needs, incoming transfers, and when directed by the Advisor.
Manages the prospect to client process including entering the record in Ameriprise CRM and communicating next steps with the client throughout the transition as well as gathering any information needed from the prospect to convert to a client.
Works with Advisor to grow Advisor's book of business by identifying new asset opportunities during prep and focusing on the Advisor's prospect pipeline. This includes touching base weekly, monthly or quarterly on growth measurements from Advisor's personal business plan.
Provides marketing support, administers client appreciation, and ensures a positive client experience.
Acts as a back-up for reception. This includes answering incoming calls, screening and routing calls, and delivering accurate messages as well as greeting clients, extending hospitality, and directing clients to appropriate area or person.
Acts as a back-up for mail and funds log.
Keeps immediate superior promptly and fully informed of all problems or unusual matters of significance.
Supports compliance within the practice and fulfills all compliance responsibilities. Develops an understanding and adheres to all compliance regulations throughout the course of employment.
Accepts and performs other duties as assigned.
Regular and predictable attendance, punctuality, and strict adherence to the Company's attendance policy are essential functions of this position.
This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.
Required Qualifications
Associate's or bachelor's degree (B.A.) from a four-year college or university; or two to three years related experience and/or training; or equivalent combination of education and experience.
Strong client service and interpersonal skills for building client relationships.
Strong work ethic, team player and a high degree of professionalism.
Proficiency in Excel, Word and Outlook required. Salesforce experience is preferred.
Experience in high volume environment preferred.
Excellent time management skills and superior attention to detail.
