Job Summary/Basic Function:
The incumbent member of the College Advancement team will serve as the main point person for the John M. Paz '78 Alumni & Family Center, a historic building currently under renovation, but opening in the fall of 2023. Situated on the corner of Dickinson's campus at High & S. West Streets, the PAFC is poised to become the main welcome center for Dickinson alumni and parents, featuring a large gathering room, several technology suites, six suites with ensuite bathrooms, and an outdoor gathering space in a lavish garden.
The manager will be responsible for overall operational management of the center including welcoming guests, booking reservations, managing events, coordinating day to day maintenance responsibilities and serving as concierge to walk-in guests. In addition, the manager will network with the Dickinson and Carlisle communities to market the center and its multiple uses. Lastly, the manager will be responsible for meeting revenue (sales) goals.
As a member of the College Advancement team, the manager will collaborate with colleagues to develop a strategic plan to maximize use of the space and revenue. This person will actively engage with visitors, evaluating potential partnerships and stakeholders that can bring significant value to the overall engagement process.
The manager will work with Dickinson campus partners to identify programs and groups to highlight throughout the house on digital displays, artwork and events.
The manager will work closely with College Advancement and Finance leadership to develop budgets, identify opportunities for revenue, and develop standard operating procedures. Revenue goals will be defined by leadership.
Essential functions:
Strategic Revenue Generation · Set strategy to manage, meet and project revenue goals. · Network with the Dickinson and Carlisle communities to maximize income. · Collaborate with College Advancement Program Directors to develop a strategic plan to maximize the use of the center. · Serve as an advocate for the center, providing opportunities to campus partners to use the center including the President's Office, Admissions, Faculty and Athletics. · Continue to develop standard operating procedures, as this is a new position.
Operational Leadership · Inventory and order operating supplies including but not limited to essential overnight items, guest experience giveaways and food for upcoming house run events. · Triage all guest needs and engage the correct campus partners to remedy the situation (room issues, door locks, toilets, electricity, heating/AC controls, lost keys etc) · Assist guests with local info and make sure brochures and maps are available. · Be the point of contact for guests to schedule and plan their stay and/or event · Reserve parking or assist with parking plans while on campus. · Prepare bios for upcoming stays and ensure the proper people are included in communications so that we are intentional about staffing day to day. · Schedule all spaces with attention to detail of what else is happening in the space at that time. · Create and maintain digital displays and artwork. · Create keycards for guest access · Hire, manage, train and schedule student workers.
Event Logistics Partner · Oversee any special events (meetings, donor visits, fireside chats, weddings, meals etc) and coordinate with event planners to permit access to the property · Work with all visitors, events or groups to provide the best possible experience during their stay · Coordinate with CASE and Catering when events are larger than can be handled by PAFCEM · Serve and attend to events in the house including, breakfasts, lunches, meetings and cocktail hours as appropriate
Quality Assurance · Coordinate cleaning and upkeep of all areas of the facility with housekeeping and maintenance as needed. In the event of staff shortage, PAFCEM may occasionally have to engage in housekeeping activities to ensure guests can check in or events can start in a timely fashion. · Be sure all emergency items are in working order (smoke alarms, emergency lights, fire extinguisher, etc) · Identify minor maintenance needs in and around property (change lights, paint touch ups, gardening, etc) and create work orders · Identify and document priority maintenance needs to discuss with supervisor · Prepare for annual health inspections (make sure everything is clean and functioning)
