Job Description Summary The University of Pennsylvania Carey Law School is one of the nation's oldest and most distinguished law schools. The Student Affairs Office is charged with defining and developing this internal culture of Penn Carey Law's student-focused community. The Associate Director of Student Life has primary responsibility for ensuring the student-run events represent Penn Law's excellence internally and externally, that these events are coordinated and designed to enhanced students' educational experience, and that students planning these events gain professional skills in managing these important projects. The Associate Director also works closely with the Associate Dean of Students to develop and implement programming and events that foster a community culture of collegiality, inclusivity, and wellness.
The Associate Director of Student Life is a full-time position, reporting to the Associate Dean of Students, and collaborating extensively with the Student Affairs team and other Penn Carey Law student services departments. This position has responsibilities in the following areas
Job Description
Student Group Systems and Procedures:
Monitor and manage systems to ensure that student organizations adhere in their programming, to departmental, Law School, and University regulations, policies, and procedures.
Communicate updates to online information related to student events, policies, and procedures to Associate Dean of Students.
Monitor and manage systems to ensure student programming is coordinated and non-redundant; encourages collaboration of student groups with other students and student groups, with administrative departments, and with faculty and Centers & Institutes; and allows for maximum attendance by those interested.
Analyze and assess incoming student event requests; resolve potential conflicts with programming from other students/student groups, administrative departments, or academic events.
Review and assess community communication mechanisms, Penn Law Calendar entries, and Facilities room reservation system for all upcoming events. Identify and develop systems to notify pertinent student groups and administrative departments about potential scheduling conflicts and redundancies as well as potential synergies.
Report on student groups' and Student Affairs' events to Associate Dean of Students.
Liaise with and represent the Student Affairs Office to other pertinent offices (Conference & Events, Facilities, ITS, etc.) to provide students with coordinated maximum support.
Student-Facing Event Support
Serve as front-line assistance for students planning non-conference level programming.
Provide counsel on logistics, catering, calendaring, room set-up, content, etc.
Ensure that student groups' information about their events is as robust as possible.
Identify gaps in entries to the relevant programming systems; notify event planners.
Work with students to ensure a level of professionalism at each event.
Working with Facilities and other partners, develop systems/check lists to support students in putting on excellent events while enhancing their professional skill sets.
Ensure that all event logistical needs are met and that students are supported in understanding all steps to a successful event, from initial planning and budgeting, to event set up and implementation, to post-event wrap up.
Student Life Programming Support:
Under the Associate Dean of Students' leadership, partner in the pre-planning and execution of vibrant and strategic programming that supports a positive and engaged student community.
Coordinate Student Affairs' existing student community life programming: scheduling, catering, set-up and break down, etc.
