This position works in the University Senate Office. The University of Minnesota has one of the strongest and most active shared governance systems among large research universities. The University Senate comprises four senates: the Faculty Senate, the Student Senate, the P&A Senate, and the Civil Service Senate. Much of the work of the senates is conducted through committees. Faculty, students, and eligible staff groups systemwide participate in University Senate governance. Shared governance provides an opportunity for diverse voices of the University community to participate in discussions and weigh in on many of the key issues facing the University.
The Senate Assistant is a 100%, 12-months continuing appointment (job code 1885, Exec Office and Admin Specialist).
JOB DUTIES:
Support University Senate Office (50%):
Support the work of the Senate Committee on Committees and Student Committee on Committees, including appointment coordination and communications.
Manage all administrative aspects of assigned senate governance committees including meeting schedules, agendas, and minutes.
Advise chairs and committee membership on University and governance policies and procedures
Maintain the University Senate Office work plan.
Research/compile materials and analyze/interpret data as needed.
Maintain listservs, web pages, and databases.
Attend and assist at University Senate and committee meetings as needed.
Write for varied audiences and purposes, including committee letters, end of semester University Senate newsletters, senator profiles, other senate publications, and minutes as needed.
Support University Honors and Awards Program (40%):
Assist director with University Honors and Awards program, including:
Coordinate with event planners to order and prepare recognition items for recipients
Write and edit award citations and bios of award recipients
Attend and assist at awards events
Assist with the planning of award events
Review letters and other correspondences
Assist in the review of awardsâ™ criteria
Assist in the review of nomination submissions for awards
Other Duties as Assigned (10%):
Other projects or duties as assigned by the director, such as implementing the University Senate Officeâ™s annual initiatives and priorities.
WORK DAYS: Monday to Friday
WORK MODE: Hybrid (some days in person and some remote)
PAY RANGE: $47,237 - $60,000
REQUIRED QUALIFICATIONS:
HR graduate with a combination of education and relevant professional administrative experience to total four years
Demonstrated in-depth experience in writing and editing routine to complex correspondence, synthesizing complex discussions, researching issues/topics, coordinating and managing multiple projects, and establishing and meeting deadlines.
Demonstrated experience effectively interacting and working with diverse constituent groups.
Proven ability to work independently and as a member of a team, as well as leading team projects.
Demonstrated outstanding attention to detail.
Proficient with Google Workspace and Zoom.
PREFERRED QUALIFICATIONS:
At least two years of experience in a professional administrative position at the UofM or another complex organization
Experience with databases (such as FileMaker Pro), Drupal Lite, and SalesForce Marketing Cloud
