The EMDR International Association (EMDRIA) is seeking a skilled and experienced Meeting Planner to manage and administer our two annual conferences: one virtual and one in person. The ideal candidate will possess a strong background in event planning, logistics, and vendor management, with a keen attention to detail and the ability to work under tight deadlines. This role will be critical in ensuring the successful delivery of high-quality conferences that meet the needs of our members and stakeholders. This is a fully remote position.
Key Responsibilities:
Conference Planning and Execution:
Coordinate all aspects of the annual in-person and virtual conferences, including site selection, contract negotiation, logistics, and on-site management.
Develop and manage project timelines, ensuring all milestones are met.
Oversee the development and implementation of conference schedules, working closely with internal teams and external partners.
Vendor Management:
Source, negotiate, and manage relationships with vendors, including venues, AV providers, caterers, and virtual platform providers.
Ensure all vendor deliverables meet EMDRIA’s quality standards and budget constraints.
Budget Management:
Develop and manage conference budgets, tracking all expenses and ensuring cost-effective solutions.
Provide regular budget updates to the Deputy Executive Director and Executive Director as requested.
Attendee Experience:
Design and implement strategies to enhance the attendee experience, including registration processes, accommodations, and customer service.
Collect and analyze feedback to continually improve conference offerings.
Marketing and Promotion:
Collaborate with the marketing team to develop promotional materials and campaigns to drive conference attendance.
Manage the conference website, online registration system, and app.
On-Site Management:
Lead the on-site operational execution of the in-person conference, ensuring smooth operations and addressing any issues that arise.
Coordinate virtual conference logistics, including session streaming, attendee support, and platform management.
Compliance and Risk Management:
Ensure all conference activities comply with relevant laws, regulations, and organizational policies.
Develop and implement risk management plans to address potential issues.

Qualifications:
Bachelor’s degree in Event Management, Hospitality, Business, or related field.
Minimum of 3-5 years of experience in event planning, with a focus on large conferences.
Proven experience in managing both in-person and virtual events.
Strong negotiation and vendor management skills.
Excellent organizational and multitasking abilities.
Proficient in event management software and virtual conference platforms.
Strong communication and interpersonal skills.
Ability to work independently and as part of a team.
Willingness to travel as needed for on-site event management.
Preferred Qualifications:
Certified Meeting Professional (CMP) designation.
Experience in non-profit or association event planning.
Knowledge of EMDR therapy and mental health industry.
