Job Description
Reporting to the Advisor to the Student Government Association in the Office of Student Involvement, the Coordinator provides administrative and logistical support to the student government association and to recognized student organizations. This support includes budgets and financial support, communication, and administrative support for programs and services. This role also provides technical support through the student engagement platform, CampusGroups (myHC).
Major Areas of Responsibility
Budgets and Fiscal Support
Support SGA advisor and RSO event planners (Office of Student Involvement/Campus Recreation) on management and usage of revenue from the student activities fee
Serve as point of contact for SGA treasurer and RSO treasurers related to budget usage and provide training and oversight of the reconciling purchases for procurement card purchases
Update and prepare SGA and RSO budget reports for monthly reconciliation
Process and maintain updated paperwork related to purchases, fundraising and use of restricted funds, and travel for SGA and RSOs
Assist SGA and RSO's with event ticketing process through myHC, including partnering with Administration and Finance for funds transfer and account reconciliation fund transfer from electronic funds collection system
Liaise with departments receiving grant budgets from the student activities fee on allocations, expenditures and requests for funds on an annual basis
Coordinate vendor services and payments as assigned
Communication
Receive and answer phone calls and emails with high quality customer service
Support of maintenance of SGA and RSO pages on myHC
Delegate access to SGA and RSO email accounts as appropriate
Support SGA campus-wide communications and marketing for programs, including updating events on the myHC calendar
Maintain updated and accurate documents for RSOs, as well as provide organizational support during the annual recognition process
Maintain updated and accurate membership rosters for SGA and RSOs on myHC, including providing administrative support for RSO census day on a semesterly basis
Provide administrative support for the maintenance of the RSO Manual to reflect College and departmental policies
Administrative Support for Programs and Services
As assigned, provide administrative support for SGA: Weekly meetings, annual programming weeks, RSO recognition and re-recognition processes, fall and spring elections and class council events
As assigned, provide administrative support for RSOs: Fall and spring e-board trainings, RSO advisor on-boarding and training, annual involvement fair, senior formals and traditions, and annual leadership awards among other events as assigned
As assigned, provide administrative support for space reservations: RSO meeting spaces, rehearsal space and event spaces
Coordinate SGA Shuttle program, including shopping and Worcester transportation services by reserving transportation, ride issue resolution, tracking ridership utilization, marketing for shuttle schedule, in coordination with the Office of Transportation and approved transportation vendors
Coordinate SGA Readership Services and contract renewal for the New York Times and Wall Street Journal
Provide administrative support to departmental staff on managing the RSO offices and storage
As needed, attend and implement large campus-wide SGA/RSO events
Qualifications
High school degree required. Associates degree preferred.
Administrative experience working in the field of Higher Education is preferred.
Strong project management skills, ability to work independently and in a team, and have strong interpersonal and communication skills.
Excellent customer service and appropriate communication skills are needed in order to provide a welcoming and professional environment for students and campus community
Displays proficiency using standard office equipment and Google suite applications including Docs, Sheets, Slides
Salary: The Program Coordinator position offers an hourly range of $19.00-$21.50, commensurate with experience.
