We are seeking a CME Coordinator who is a professional meeting planner in the Office of Continuing Medical Education (OCME) and develops and executes all aspects and formats of Continuing Medical Education (CME) programs sponsored by Johns Hopkins University School of Medicine. Meetings range in attendance from 50 to over 1,000 people, with budgets from $30,000 to over $600,000.
The CME Coordinator functions within the guidelines of the American Council for Continuing Medical Education (ACCME) under the auspices of the OCME and in collaboration with the faculty course director, a Johns Hopkins University faculty member. The CME Coordinator exercises autonomous and independent judgment to plan meetings. This position will work with faculty and staff from throughout the university, as well as internal and external vendors.
Specific Duties & Responsibilities:
Financial and Budget Analyses:
- Analyzes financial data and develops preliminary reports to forecast financial profitability of a prospective program.
- Develops and monitors budgets for each course, including expected revenues and expenses, in accordance with the financial goals of the program. Budgets range from $30,000 to over $600,000.
Commercial Support:
- Collaborates with faculty to write and submit grant applications.
- Responsible for ongoing grant management, including processing of agreements, payments, and reconciliations.
- Manages exhibitor request submissions from vendors and onsite and/or virtual logistics for vendor exhibits.
Marketing & Promotion:
- Manages marketing and promotions for conferences.
- Investigates and chooses effective and reliable promotion avenues, including working with graphic designers, printing companies, mail houses/postal services, etc.
- Ensures conferences are marketing through national medical education databases.
Contract Analyses & Negotiations:
- Develops, analyzes, and negotiates conference-related contracts
Other Responsibilities:
- Oversees all aspects of conference coordination:
- With the Accreditation and Compliance Specialist, ensures compliance with ACCME, OCME and other pertinent regulations, processes, and policies.
- Serves as main point of contact with internal and external faculty, including speakers.
- Oversees and coordinates all aspects of conference logistics and infrastructure, including working with convention service personnel and others to ensure appropriate registration, transportation and lodging, food and beverage availability, meeting and exhibitor space layout, audiovisual services, evaluation distribution, and post-activity debriefings.

Minimum Qualifications (Mandatory):
- Bachelor's Degree and two years of related experience.
- Must be able to travel to off-site locations and work some weekend, early morning, and/or evening hours.

Preferred Qualifications:
- Experience in event planning.
- Experience working with an accredited provider of professional education.

Physical Requirements:
- Must be able to communicate effectively in person using spoken English.
- Must be able to communicate via telephone and videoconferencing (such as Zoom and Microsoft Teams).
- Must be able to carry out support of programs that require extensive work at a computer.
- Occasionally lifting, carrying objects weighing 10lbs. or less.
- Occasionally pushing, pulling objects weighing 30lbs. or less
Budget Authority:
- Can manage project budgets of approximately $30,.00 - $600,000.
- Has the authority to review and approve expenses for payment, approve the reconciliation of budgets, and transfer of funds to sponsoring departments.

Starting Salary Range: $51,210 - $70,480 annually (commensurate with experience)
