Michigan Water Environment Association is a non-profit company in Lansing, Michigan whose mission is to provide innovation and leadership in protecting Michigan's water resources. Working together with our members, we plan and host seminars, trainings, workshops, and conferences to support Michigan's water professionals.
Position Description:
The Event Coordinator is responsible for planning and executing multiple annual seminars, conferences, workshops, and classes - often simultaneously and as assigned. This role ensures that all aspects of event management - including planning, scheduling, marketing, implementation, and post-event evaluation, are carried out effectively and in alignment with MWEA’s standards and objectives.
Working closely with the Events & Marketing Manager, Deputy Director, and other MWEA staff and leadership, the Event Coordinator contributes to the promotion of events through social media, website updates, the membership database, email communications, and various event and organizational publications. As a key member of the events team, the Event Coordinator plays an integral role in both event execution and marketing, collaborating across departments to ensure consistency, alignment, and support for broader organizational operations.
This position also involves building and maintaining strong external relationships with members, committees, volunteers, and vendors, enhancing the value and service MWEA provides. The Event Coordinator plays an essential role in advancing the goals of the MWEA Strategic Plan.

Responsibilities:
1. Event Coordination:
a. Lead coordinator on assigned one-day seminars, whether virtual, in-person or hybrid form; includes, but is not limited to managing all aspects of event planning to meet strict deadlines and budget demands.
b. Assist with planning, organizing, supporting, and/or executing various programs, special events, and activities related to conferences, conventions, educational seminars, webinars, board meetings, and other related events, as assigned.
c. Coordinate logistics for lodging, transportation, catering, entertainment, and related functions.
d. Troubleshoots on-site logistics, and sets-up and breaks-down events.
e. Assist in development of all publications, promotional materials, and related marketing materials, both printed and digital.
f. Proof related documents and may occasionally write program material or assist in its development.
g. Prepare and assemble materials for various events including reports, certificates, badges, handouts and other items.
h. Manage RFP process to select outside vendors; manage vendor relationships.
i. Perform departmental administrative and clerical duties.
j. Coordinates onsite event team (MWEA staff, volunteers, etc.)
2. General Duties:
a. Supports the MWEA Strategic Plan
b. Maintains willingness and flexibility to constantly changing tasks, responsibilities, initiatives, goals, needs, expectations etc. due to the limited/small number of MWEA staff team members
c. Supports other MWEA facilitated education, seminars, conferences and events
d. Responds routinely to team and member inquiries by email, phone and/other defined means
e. Supports office and phone coverage during business hours of operation
f. Participate in all team/staff meetings, training, and professional development.
g. Attend committee meetings as needed.
h. Nurture and build relationships with members, vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of all events.
3. Other tasks as assigned
Position Requirements:
1. A qualified candidate should have 1-3 years of experience in event planning, preferably in an association setting.
2. Intermediate experience with Canva is preferred.
3. A 4-year degree is preferred but not required.
4. A Certified Meeting Planner (CMP) is preferred but not required
5. Experience in membership software and website administration is highly desired
6. Strong leadership capabilities – is forward looking and visionary; deals honestly and fairly with others; sets a positive example; shares credit for successes, accepts responsibility for failures.
7. Exceptional people management skills – able to inspire and motivate staff, set clear goals, articulate expectations, and hold people accountable for results.

Environmental Expectations:
1. All employees of MWEA are expected to work from the MWEA office located at 5815 Executive Drive, Lansing, MI 48911, during business hours with the exception of MWEA facilitated events and activities which may be held off-site, otherwise approved in writing by the Executive Director and/or employee’s direct supervisor.
2. All employees of MWEA are critical in supporting both the physical infrastructure/office and daily operations.
